Ghost Automate at a glance
Business
Ghost Automate is a founder-led New Zealand automation start-up. The proposed company name is Ghost Automate Limited. Full legal identification and private financial documents will be provided directly to Work and Income rather than published on this public page.
Purpose
Build practical automation around the way a small business already works, reducing missed enquiries and repetitive administration while keeping humans in control where judgement, safety or exceptions matter.
Customer problem
Small business owners and skilled staff often lose productive time answering routine calls, collecting job details, arranging bookings, following up quotes, moving information between systems and handling repetitive customer questions. Missed calls can also mean lost jobs before the business gets a chance to respond.
Solution
Ghost Automate will design, install and manage systems including AI telephone reception, lead capture and qualification, appointment/job booking, customer reminders and follow-up, calendar/CRM/job-management/accounting integrations, document/data-entry automation, internal business knowledge tools and bespoke workflow automation.
Initial target market
New Zealand sole traders and small service businesses, particularly plumbers, electricians, builders, mechanical/service firms, property/service contractors and other appointment- or job-based businesses with frequent inbound enquiries and administrative workload.
Commercial model
Current evidence of execution
The domain ghostautomate.co.nz, customer-facing website and working browser voice assistant are already live. The demo proves technical capability but is intentionally not presented as a mature commercial deployment: it cannot currently create a real customer booking, alter a real calendar, submit a real lead or change a customer's systems.
Support requested
A practical automation company, not a generic “AI consultancy”.
The first commercial objective is to prove a repeatable customer problem, acquire a small number of representative customers, accurately measure delivery costs, and turn repeated technical work into standard processes before chasing scale.
Mission
Make sophisticated automation useful to ordinary NZ businesses without requiring the customer to become an AI engineer.
What customers buy
Outcomes: calls answered, enquiries captured, admin removed, jobs booked, follow-ups completed and systems connected.
How it starts
Founder-led discovery and implementation with low fixed overhead, measurable pilot results and clear human fallbacks.
Service ladder
| Offer | Customer outcome | Proposed charging model |
|---|---|---|
| Initial automation consultation | Identify missed-call/admin bottlenecks and determine fit | Free 30-minute qualification |
| Automation Audit & Roadmap | Workflow map, priorities and recommended first automation | Planning hypothesis: NZ$395 one-off |
| Managed AI reception | Routine call handling, lead capture, qualification and escalation | Planning average: NZ$299/month |
| Onboarding / integration | Knowledge, rules, call flow, calendar/CRM integration and testing | Planning average: NZ$750 |
| Workflow automation | Automate follow-up, documents, customer/admin workflows | Planning start point: NZ$2,500/project |
| Ongoing support | Monitoring, optimisation, hosted workflows and changes | Planning range: NZ$149–$399/month |
| Private / NZ-controlled deployment | Higher-control deployment where privacy or data location matters | Individually quoted |
These are launch hypotheses for viability modelling, not published historical prices or sales. Pricing is to be validated through customer interviews and pilot sales.
Delivery process
Discovery → workflow map → scope and quote → privacy/data review → build → integration → structured testing → human-fallback testing → customer acceptance → launch → monitoring → optimisation.
The commercial product is not merely whether an AI model can talk. It is whether the agreed business workflow performs reliably, safely and at a sustainable margin.
Customer acquisition plan
- Founder-led direct outreach to selected local trades and service businesses.
- Demonstrate the existing voice assistant and discuss the customer's real workflow.
- Run a short discovery conversation and identify one expensive repetitive problem.
- Offer a tightly scoped pilot with measurable success criteria.
- Measure deployment time, direct cost, customer value and reliability.
- Convert successful pilots into managed recurring services and referrals.
- Delay broad paid advertising until conversion rate and acquisition cost are understood.
Why Ghost Automate can differentiate
The strategy is to compete on implementation, integration, practical business outcomes, privacy-conscious deployment and ongoing optimisation rather than on the cheapest per-minute voice bot.
A large small-business base, with a category that already has paying competitors.
Market interpretation
Ghost Automate does not need to capture a meaningful percentage of all NZ businesses to become viable. A founder-led service business can reach sustainability with a relatively small customer base. The existence of several NZ AI receptionist and automation providers is useful evidence that the category exists and customers are being asked to pay for it.
Competitor snapshot · checked October 2026
| Provider | Public offer / pricing observed | What it validates |
|---|---|---|
| FirstVoice | Managed AI receptionist entry plan publicly advertised from around NZ$297/month | Premium managed phone-reception demand |
| Talkify | Business voice plan publicly advertised around NZ$129 introductory / NZ$199 standard | Voice, calendar and CRM integration demand |
| AnswR | Public tiers shown around $99 / $199 / $399 | Trade/job-management integration positioning |
| Hellodesk | Public NZ plans shown from around NZ$149/month | Tradie/service-business receptionist positioning |
| Bizzy Boss | Public introductory AI-receptionist offer around NZ$147/month + usage | Direct tradie-focused demand |
| Automate AI | Voice agents plus broader workflows/custom automation; voice offer publicly advertised from around NZ$70/month + GST | Broader automation agency model and price pressure |
Competitor prices are point-in-time observations and can change. They are included to demonstrate category validation and positioning, not to claim a permanent market rate.
Research still to strengthen
- 5–10 documented conversations with target business owners.
- At least 2–3 written expressions of interest or pilot discussions if obtainable.
- Measured time/cost data from the first live pilot deployment.
- Customer willingness-to-pay notes against the proposed pricing hypotheses.
Three scenarios, with WINZ support kept separate from trading revenue.
The model deliberately treats grants or Flexi-wage as support rather than customer revenue. It is designed to show both the route to sustainability and what happens if sales are slower than expected.

|---|---|---|---|---|---|

The plan assumes AI can fail, providers can change prices, and cloud services can bill you while everybody is asleep.
| Risk | Mitigation |
|---|---|
| Customer acquisition slower than forecast | Conservative scenario, founder-led outbound, customer interviews, low fixed overhead, staged advertising |
| AI provides incorrect information | Restricted knowledge, deterministic rules where possible, testing, confidence/escalation thresholds and human fallback |
| Automation performs an incorrect business action | Approval gates for sensitive actions, audit trails, rollback and customer acceptance tests |
| Privacy/security incident | Privacy Impact Assessment where appropriate, privacy officer, minimisation, retention rules, vendor due diligence, incident plan and insurance |
| Provider outage | Graceful failure, human forwarding/escalation, monitoring and provider abstraction where justified |
| Model/API pricing changes | Per-customer usage monitoring, margin thresholds and alternate providers where practical |
| Cloud-cost runaway | Spend alerts, quotas, automatic shutdown where possible, no unattended experimental resources and client-level cost tracking |
| Founder dependency | Runbooks, documented deployment procedures, secure backups and standardised templates |
| Cash-flow volatility | Flexi-wage pathway, staged expenditure, deposits/early invoicing where appropriate and monthly forecast review |
Privacy approach
- Founder to act as initial Privacy Officer.

- Can I be assessed for all three parts of the self-employment pathway rather than only the company-registration expense?
- Which proposed start-up costs do you consider essential and potentially eligible, and what approval/quote process must I follow before spending?
- Can the Business Training and Advice Grant fund an accountant or adviser to review this plan, pricing and financial forecast before independent viability assessment?
- What evidence does the independent assessor normally expect for a software/service business like this?
- How should I report the hours I currently spend developing the business while the application is being assessed?
- At what point should Jobseeker obligations transition to a Flexi-wage self-employment arrangement if approved?
- Who should receive revised quotes and updated plan documents after this meeting?
- What date should the first actual-versus-forecast financial review be prepared for?
